How to set prices, schedules and availability

Options, price categories, session times, opening dates with capacity, and seasonal price overrides.

Three tabs of the excursion editor control what customers can buy and when: Options (what and at what price), Availability (which dates, how many seats) and Pricing Overview (different prices on specific dates). Set them up in that order.

Create an option

An option is one bookable variant of the tour: "Standard", "Private", "With lunch". Open the tour, go to Options and click Create New Option.

  1. Option Title and Duration.
  2. Pricing Model: Per Person Pricing multiplies the price by the number of participants and lets you set a Min Quantity and Max Quantity per booking. Fixed Price charges one amount whatever the group size, useful for private tours.
  3. Price Categories: one row per traveller type, for example Adult and Child, each with its Price. The categories themselves are managed under Price Categories (/admin/price-categories); create them there first if the list is empty.
  4. Session Times (only for tours created with Date + Time): add one row per departure time, for example 09:00 and 14:00. At least one is required.

Click Save Option. Repeat for each variant you sell.

Open dates

Dates are closed until you open them, so a brand-new tour cannot be booked yet. Go to Availability and click Open Dates:

  1. Choose a From Date and To Date.
  2. Tick the Select Weekdays you run on, or Select All.
  3. Tick the Select Options the dates apply to.
  4. Leave Action on Open Dates and pick an Availability Type:
    • Freesale (Unlimited Capacity): no seat limit.
    • Limited Slots: enter Total Slots per Session. Goiaba stops selling when they are gone and shows "booked / total" on the calendar.
    • On Request: the customer asks, you confirm.

The calendar shows one row per option and a green dot on every open date. Click any cell to change that single day: set it Closed for a holiday, change its type, or adjust Total Slots. To close a whole period, run Open Dates again with Action set to Close Dates.

Seasonal prices

The option price is the default. To charge more in high season, go to Pricing Overview and click Manage Pricing: pick the option, a date range and weekdays, then enter the price for each category. Click a single cell in the pricing calendar to Edit Price for that day or Reset to Default. Dates with a custom price are marked in the calendar.

Cut-off and holds

  • The Booking Cut-Off Time on Basic Details closes sales that many hours before the departure. It applies to the whole tour.
  • When a customer starts paying online, their seats are held for 20 minutes. If the payment never completes, the seats are released automatically.
